We are seeking a highly organized, detail-oriented, and proactive Construction Administration (CA) Coordinator to join our dynamic team. This role is crucial in supporting our engineering and project management staff during the construction phase of MEP projects. The CA Coordinator will manage the flow of project documentation, facilitate communication between internal teams and external partners (contractors, architects, clients), and ensure administrative processes run smoothly and efficiently. This position requires excellent communication skills, proficiency in document management, and a foundational understanding of the construction process, ideally within the AEC (Architecture, Engineering, Construction) industry. This role is located in Austin, Texas and has a flexible hybrid work schedule.

 

 

Responsibilities

 

Document Management

  • Receive, log, distribute, track, and file construction phase documentation including Requests for Information (RFIs), Submittals (shop drawings, product data, samples), Change Orders, Payment Applications, Meeting Minutes, Punch Lists, and Closeout Documents.  Autodesk Construction Cloud will be utilized for internal tracking
  • Maintain accurate and up-to-date logs for RFIs and Submittals using designated software (e.g., Procore, Newforma, Bluebeam Revu, Autodesk Construction Cloud, internal systems)
  • Ensure timely review and response workflows for submitted documents according to project requirements
  • Assist in compiling and organizing final project record documents (As-Builts, O&M Manuals, Warranties).

 

Communication & Coordination

 

  • Act as a key administrative point of contact for construction-related inquiries
  • Facilitate communication between project managers, engineers, designers, contractors, subcontractors, and clients regarding CA documentation
  • Assist in scheduling and coordinating construction progress meetings and site observations, preparing agendas, and distributing minutes
  • Maintain organized project files and contact lists

 

Process and Support

 

  • Support Project Managers and Engineers by preparing standard correspondence, reports, and transmittals related to construction administration
  • Monitor document deadlines and proactively follow up on outstanding items
  • Assist in tracking project progress against schedules concerning CA tasks
  • Identify opportunities to improve CA processes and workflows
  • Provide general administrative support to the CA team as needed

 

Required Qualifications

 

  • High School Diploma or GED equivalent
  • Proven ability to manage multiple tasks and deadlines effectively in a fast-paced environment
  • Exceptional organizational skills and meticulous attention to detail
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, SharePoint/Teams)
  • Experience using document management or construction project management software (e.g., Procore, Newforma, Autodesk Construction Cloud, Bluebeam Revu, etc.)
  • Basic understanding of construction terminology and project phases

 

Preferred Qualifications

 

  • Associate's or Bachelor's degree in Construction Management, Business Administration, Engineering Technology, or a related field
  • Minimum 3 years of experience in an administrative or coordination role within the Architecture, Engineering, or Construction (AEC) industry
  • Direct experience supporting MEP engineering projects during construction administration
  • Specific experience with Autodesk Construction Cloud
  • Familiarity with reading and interpreting construction drawings and specifications
  • Experience processing RFIs, Submittals, and Change Orders.
